- Background
- This privacy policy applies to CULS. We at CULS take your privacy seriously. This policy covers the collection, processing and other use of personal data under the Data Protection Act 1998 (“DPA”) and the General Data Protection Regulations (“GDPR”).
- This statement explains how CULS (“we” and “our”) handles and uses data we collect about our members (“you” and “your”). In broad terms, we use your data to manage the ongoing relationship between CULS and you as a member of CULS including keeping in touch with you, keeping you up to date on our events, sending you information regarding your membership costs and the occasional request to help the students of the University of Cambridge’s Department of Land Economy and/or the Department of Architecture by way of fundraising or work experience.

- How your data is used by the CULS
- We collect and process your personal data, as specified below, for a number of purposes, including:
- completing your membership application and any renewal thereof.
- informing you of events that we believe will be of interest to you.
- providing you with information about CULS and the University of Cambridge Department of Land Economy and the Department of Architecture, including major initiatives and programmes.
- promoting related third party events and services which we believe are in the interest of CULS and will be of interest to you.

- We collect and process your personal data, as specified below, for a number of purposes, including:
- Communications
- If you are a new member, we will ask you at the outset how you would like to receive communications from us. If you are already receiving communications from CULS, you are able to change your preferences (or ask us to stop sending you communications completely) by contacting CULS (culandsoc@alibrinkley.co.uk). You may request changes at any time.
- Personal Data and Retention
- We will retain your data during your membership of CULS or until you request us to do otherwise. When changes are made to this policy, we will publish the updated version to our website and notify you by other communication channels as we deem appropriate or necessary.
- We retain personal data (provided by you), including:
- your current name and any previous names you have had.
- unique personal identifiers (e.g. date of birth).
- your current and previous contact details.
By providing us with email addresses and telephone numbers, we have taken this to be consent to use those channels to contact you for this and other purposes outlined in this statement, unless you have outlined to us your preferred communication channels. When you provide this information, we will assume (unless you notify us otherwise) that we can use this.
- matriculation and graduation details.
- known relationships with other members (past or present) of CULS.
- your previous attendance at CULS events.
- information about your areas of personal interest.
- personal data relating to your attendance at events and your personal preferences (e.g. dietary or accommodation requirements or requests).
- records of any communications (verbal or written) we have had with you, including the purpose and outcome of those communications.
- any communication preferences confirmed by you.
- ways in which you have supported CULS including in respect of any financial support:
- the purposes and amounts of any donations or other support previously provided to CULS by you; and / or
- the method(s) of payments used and related payment references;
We may also hold your bank details where they have been sent by you for the refund of expenses. Some of this financial information needs to be retained for statutory purposes for a number of years (e.g. anti-fraud and accounting matters). When you provide this information, we will assume (unless you notify us otherwise) that we can use this information for other purposes outlined in this statement.

- If your personal details change, it is important that you let us know so that the information we hold is accurate. You can do this by contacting CULS (culandsoc@alibrinkley.co.uk).
- Disclosure
- We may disclose your information to regulatory bodies to enable us to comply with the law and to assist fraud protection and minimise credit risk.
- Where you have consented for us to do so, we may provide your data to the University of Cambridge and selected third parties with whom we organise events.
- If you do not want us to use your data for our or third parties’ use as set out in paragraph 6.2, you will have the opportunity to withhold your consent to this when you apply for membership to CULS, or you can do so by writing to us at the address detailed in clause 2.1, or sending us an email to culandsoc@alibrinkley.co.uk at any time.
- Please be advised that whilst we do not reveal information about identifiable individuals to the University of Cambridge without your consent, we may, if requested by the University of Cambridge, provide its personnel with aggregate statistical information about our members.
- Your rights
- The DPA and GDPR give you the right to access information held about you by us. Please write to us or contact us by email if you wish to request confirmation of what personal information we hold relating to you. You can write to us at the address detailed in clause 2.1, above, or by email to culandsoc@alibrinkley.co.uk. There is no charge for requesting that we provide you with details of the personal data that we hold. We will provide this information within one month of your requesting the data.
- You have the right to change the permissions that you have given us in relation to how we may use your data. You also have the right to request that we cease using your data or that we delete all personal data records that we hold relating to you. You can exercise these rights at any time by writing to us at the address detailed in clause 2.1, above, or by email to culandsoc@alibrinkley.co.uk.
- You retain the right at all times to lodge a complaint about our management of your personal data with the Information Commissioner’s Office at https://ico.org.uk/concerns/
- Storage of data
- Your data is stored:
- on computers accessed only by CULS personnel and relevant officers of CULS.
- in respect of the Website (referred to in clause 9):
- as part of the services offered to you the information you provide to us may be transferred to and stored in countries outside of the European Economic Area (EEA) as we use remote website server hosts to provide the website and some aspects of our service, which may be based outside of the EEA, or use servers based outside of the EEA – this is generally the nature of data stored in “the Cloud”. It may also be processed by staff operating outside the EEA who work for one of our suppliers, e.g. our website server host, or work for us when temporarily outside of the EEA.
- a transfer of your personal data may happen if any of our servers are located in a country outside of the EEA or one of our service providers is located in a country outside of the EEA. If we transfer or store your personal data outside the EEA in this way, we will take reasonable steps to ensure that the data is protected in accordance with the DPA and GDPR. If you use our service while you are outside the EEA, your personal data may be transferred outside the EEA in order to provide you with these services.

- Our website uses analytical and statistical tools that monitor details of your visits to our website and the resources that you access, including, but not limited to, traffic data, location data and other communication data (but this data will not identify you personally).
- Your payment information (e.g. credit card details) provided when you make a purchase from our website is not usually received or stored by us. That information is processed securely and privately by the third party payment processors that we use. These websites should have their own privacy policies, which you should check. We do not accept any responsibility or liability for their policies whatsoever as we have no control over them.
Please note that our payment processors, may share your personal data with us but only for the purpose of completing the relevant payment transaction.
- Security
- The transmission of information via the Internet or email is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of data while you are transmitting it to our site; any such transmission is at your own risk. Once we have received your personal data, we will use strict procedures and security features to try to prevent unauthorised access.
